Overview
This Privacy Policy describes how Polici handles information when you browse public pages, create an account, manage a subscription, run product workflows such as Pre-Check, Script Analyzer, Video Audit, Script Creator, Violation Diagnosis, or Appeal Guidance, or contact support.
Information we collect
- Account and subscription data. When you create an account, we collect information such as your name, email address, authentication records, plan, usage counters, subscription status, billing interval, and related customer or subscription identifiers needed to operate paid plans. Payment card details are processed by Stripe rather than stored directly by Polici.
- Tool submissions and outputs. We process the text, optional context, links, notices, transcripts, and other inputs you submit to workflows such as Pre-Check, Script Analyzer, Video Audit, Violation Diagnosis, Appeal Guidance, and Script Creator, together with the resulting statuses, explanations, and generated outputs.
- Saved evaluation data. When a Pre-Check is saved, we store the resulting statuses, explanations, risky phrases, suggested rewrites or calls to action, triggered themes, matched topic slugs, related change IDs, confidence values when available, timestamps, and the account association when the run is created while signed in.
- Uploaded videos. When you upload a video in Video Audit or related workflows, the file is written to temporary storage so we can extract audio, sample frames, and produce transcript or OCR output. Those temporary files are removed after the request completes. If transcript or on-screen text is later submitted through Pre-Check, that text can become part of a saved run.
- Support requests and technical data. If you contact support, we collect the details you provide so we can respond. Our hosting and infrastructure providers may also process standard request metadata, such as IP address, user agent, timestamps, and error information in server logs.
- Session data. Our hosting and infrastructure providers may process standard request metadata, and we use necessary session records and HTTP-only cookies to support account sign-in, secure authenticated actions, and limited admin access.
How we use information
- To create and maintain accounts, sessions, and secure authenticated access.
- To process subscriptions, manage billing state, and enforce usage limits.
- To run Pre-Check, Script Analyzer, Video Audit, Script Creator, and related workflows.
- To save and reopen Pre-Check results by direct result link.
- To generate aggregate Pre-Check analytics from saved runs.
- To operate the policy library, source scans, internal alerts, and quality checks.
- To respond to support requests and service-related communications.
- To debug, secure, and maintain the service.
How saved result visibility works
Polici provides customer accounts, and saved Pre-Check runs may be associated with the signed-in account that created them. Even so, saved runs are retrieved by direct identifier plus result token and may be reopened by result URL. Anyone with the exact link may be able to view that saved result, so you should not submit confidential, personal, or otherwise highly sensitive material.
Third-party services and processors
- Anthropic. Used for certain AI-assisted evaluations, library answers, violation workflows, and some content analysis outputs.
- Groq. Used for audio transcription in video workflows.
- OpenAI-backed workflows. Used for internal enrichment of monitored policy-source content and certain analysis workflows.
- Stripe. Used to process subscriptions, payments, billing updates, and customer portal actions.
- Resend. Used for account and support-related email delivery.
- Hosting and database providers. Used to run the application and store account, subscription, and saved workflow records.
We do not sell submitted Pre-Check or video-analysis data.
Retention
Account, subscription, support, and saved workflow records remain in our systems for as long as needed to operate the service, meet contractual or legal obligations, resolve disputes, and maintain security and business records. Saved Pre-Check runs remain in our database until they are manually removed or are no longer needed to operate the service. We do not currently offer a self-service deletion tool. Temporary video-processing files are deleted after processing, subject to normal system cleanup behavior.
Cookies and similar technology
We use necessary cookies and similar session technology to sign users in, maintain authenticated account sessions, support subscription and account-management flows, and enable limited admin access. We do not currently describe advertising cookies in the public product experience.
Security and sensitive data
We use reasonable measures intended to protect the service, but no internet service is perfectly secure. You should avoid submitting trade secrets, payment-card data, medical records, government identifiers, or other highly sensitive personal information.

To request deletion of a saved Pre-Check run or ask a privacy question, please email [email protected]. We may revise this Privacy Policy from time to time by posting an updated version on this page.
